PA to Head Teacher
• Managing Head Teacher’s diary and appointments including incoming communications as necessary e.g. telephone, email, post, visits etc.
• Supporting the Head Teacher’s management of administrative duties including inputting and analysis
• Manage incoming correspondence referring on as appropriate; screening telephone calls, enquiries and requests, and handling them as appropriate.
f student assessments and preparing necessary documents e.g. reports.
• To assist in the publication of the school’s weekly, termly and yearly marketing materials (updates via weekly highlights, Kaleidoscope, handbooks, Yearbook etc.).
• Support the primary receptionist to ensure parental requests and concerns are dealt with in a timely manner.
• Work with marketing to provide necessary information for the school’s website and other marketing materials.
• Provide administrative support for the Primary Leadership Team as directed by the Head Teacher
• Proactively plan ahead and prepare for annual events with the Head Teacher.
• Support all other departments as necessary; facilities, admissions, reception, teaching staff, resources, nurse.
• Assist with school photo organisation
• Assist the purchasing officer and the facilities officer to follow up on overseas order distribution
• Undertake liaison between the Head Teacher and school admin team, teaching staff, parents and the local community in general.
• Manage the set up and running of the Clubs (ECAs) programme, including liaising with Clubs providers, parents and the Director of Sport.
• Co- ordinate the overseas orders from phase coordinators and curriculum and department coordinators.
• Follow up and submit supply teacher and overtime timesheets to HR monthly
• Arrange accommodation/travel for meetings, preparation and distribution of agendas and paperwork and minute taking for meetings as requested.
• Support the Head Teacher in relation to professional learning agenda and Performance Management.
• Provide translation in meetings as and when necessary.
• Support the Head Teacher with the management and organisation of budgets.
• Receive visitors on behalf of the Head Teacher.
• Timley support the communication with parents via Class Dojo and other school communication systems.
• Organise and file paperwork, documents and computer- based information.
Club coordinator:
Coordinate with teachers to organise Primary extra- curricular activities and outside- club (paid clubs):
• Outside- club: Draft cost and budget of the clubs; Assist in the processing of all contracts between the school and club providers; Proceed all payments which are related to the clubs; Communicate with students and teachers to collect their feedback on the clubs provided and maintain their profile; keep relevant records; communicating and liaising with parents/carer and teachers.
• Other tasks required relating to organising clubs: monitor attendance, general reminders to students, parents, club teachers…
• Ensure all contract with club provider mentioned that they must provide their staff ‘police check to the school within one month from start. Liaise with HR to manage their police check.
• Extra- curricular activities: collate information, organise booklets, manage club sign up systems, update extracurricular activities registers via School Buddy and other appropriate tools, send/deal with all correspondence and queries.
• Ensure safeguarding training by the school to all the outside- club providers prior to their starting.
