This isn’t your average 9- to- 5. It’s dynamic, fast- paced, and deeply personal. You’ll be the trusted right hand to two busy directors, supporting both their business and personal lives. One day you might be coordinating with fashion insiders or planning a real estate viewing, the next you could be booking travel, troubleshooting vendor issues, or feeding an adorable 1.5kg teacup poodle named Potato.
This role offers an insider look into a wide range of industries including luxury fashion, beauty, health, real estate, and tech startups. Administrative & Business Support:
Stay highly organized and track all assigned tasks, ensuring deadlines are met and reminders are sent as needed.
Handle requests and queries efficiently, acting as a reliable gatekeeper for the directors.
Assist in managing business projects by creating timelines, coordinating with vendors, and using online tools like Notion, Excel, and project management software to stay organized.
Prepare weekly/monthly reports, presentations, and briefs as required.
Negotiate with vendors and provide the best recommendations for business and personal needs.
Property & Rental Management
Oversee and manage multiple rental apartments, including assisting in finding tenants, collecting rent, and coordinating maintenance or repair work.
Handle tenant inquiries, resolve issues, and ensure smooth property operations.
Be available for urgent matters, such as tenant emergencies or vendor access to the apartments, including on weekends if needed.
Scheduling & Travel Arrangements:
Make clear and concise travel arrangements, including hotel, flights, and transportation bookings.
Occasionally travel with the directors for meetings and events, taking notes or providing assistance as needed.
Organize and manage the directors’ calendars, scheduling meetings and appointments, and sending out calendar invites.
Event & Household Management:
Assist in planning and coordinating events, ensuring all logistics and vendor management are handled.
Support household management, including weekly personal shopping (groceries, essentials, etc.).
Maintain good relationships with service providers and suppliers.
Personal Assistance:
Assist with personal errands and ad- hoc requests as needed.
Support with purchasing pet supplies and taking pets to the vet or groomers.
Maintain discretion and confidentiality in all matters.
WORKING TIME & LOCATION
Working Hours: Monday – Friday
Must be available on weekends for urgent matters such as emergencies at the apartments or vendor access.
Work Locations:
60%- Office
40% in- person work with the directors in District 1 (or other required locations).
