JOB DESCRIPTION
Position OverviewThe Operations Assistant will support the Mass Recruitment, Staffing, and Outsourcing teams by maintaining operational data, preparing reports, coordinating document approvals, and ensuring timely and accurate information is available for management decision- making. This role also supports quarterly commission processes and presentation preparation for country- level gatherings.
Key Responsibilities
Data & System Management
•Create, track, and update regular operational reports as required.
•Maintain and update internal information systems for the AMR, Staffing, and Outsourcing teams.
•Provide data support for the teams to ensure information accuracy and smooth workflow.
Document Handling & Approval Process
•Manage and coordinate the approval (“trình ký”) of documents, primarily for the AMR team.
•Ensure all required paperwork is complete, accurate, and processed in a timely manner.
Reporting & Data Consolidation
•Follow up on outstanding numbers/data to ensure management always has up‑to‑date information for reporting and decision- making.
•Consolidate offering documents from the Staffing team and billing data from the AMR team.
Quarterly Tasks
•Assist with quarterly commission calculations.
•Prepare PowerPoint materials and supporting documents for country gatherings and internal presentations.
REQUIREMENTS
QualificationsRequired:
•College or university degree in Business Administration, Operations, or related fields.
•Strong attention to detail and ability to handle multiple tasks.
•Good communication and coordination skills.
•Proficiency in Microsoft Office (Excel, PowerPoint, Outlook).
•Ability to work both independently and as part of a team.
Preferred:
•Experience in operations, administration, or data support roles.
•Familiarity with internal approval workflows or reporting tools.
