Key Responsibilities
As Executive Assistant to the CEO, you will act as the CEO’s frontline filter and coordination hub. You will help manage priorities, streamline communication, support basic legal/document review, and ensure that the CEO can focus on strategic decisions and high- impact work.
Executive Support & Frontline Filter
Monitor ongoing and pending tasks across departments and partners (Marketing, Tech/IT, Legal, Accounting, Media, etc.).
Manage the CEO’s calendar, key reminders, and follow- ups; “chase” stakeholders for deliverables and decisions.
Act as the CEO’s first line of filtering for requests, information, and issues before they reach the CEO.
Maintain a clear task- tracking system and regularly review priorities with the CEO.
Coordination, Communication & Gatekeeping
Screen and prioritize meeting requests, emails, and messages to protect the CEO’s time.
Serve as liaison between the CEO and internal teams (Marketing, Product/Tech, Media, Accounting etc.) and external partner (Legal, Sponsor, etc.)
Draft and review email communication, internal memos, reports, and presentations for clarity and professionalism.
Legal & Document Support
Coordinate with legal and relevant stakeholders on document revisions, approvals, and signatures.
Organize and maintain structured filing of contracts, legal documents, and key company records.
Support basic legal review of documents (contracts, MOUs, partnership agreements) for completeness, consistency, and alignment with templates before final approval by CEO.
Content Preparation & Research
Consolidate team updates and data into concise summaries, briefs, or reports for the CEO.
Conduct background research on partners, markets, competitors, and vendors when needed.
Assist in preparing pitch decks, proposals, and business materials for partners, sponsors, and investors.
Travel, Events & Other Support
Arrange business travel and logistics (flights, accommodation, schedules) for the CEO.
Support guest and client hospitality (welcoming, hosting, meeting arrangements).
Assist in planning and executing Fanzeal events such as app launches, marketing activations, and fan engagement events.
Handle ad- hoc projects, research tasks, translations, and occasional personal errands as agreed with the CEO.
