Shipping Coordinator

* Order Processing:- Receive and process sales orders from sales team.- Verify orders against CMA contracts/sales team to ensure correct POD/POA.* Shipping Schedule Management:- Update cargo ready date base on information provide by planning to create shipping schedules.- Communicate shipping schedules to relevant departments.* Booking and Coordination:- Place bookings with nominated Forwarders/Agents or in the Forwarder system, Shipping line system based on Contract no. got by Sale team.- Coordinate with the Packing department and Forwarder to prepare for export shipments.- Provide the Sales team with regular shipment status updates for customer communication.- Review incoming orders provided by the Sales team and align shipment plans with production and warehouse schedules.- Revise shipment schedules when priorities change and ensure all stakeholders are updated promptly.- Schedule shipments based on confirmed order dates, available capacity, and agreed delivery commitments, ensuring shipment instructions are released to the warehouse with sufficient lead time.- Track all shipments from the planning stage through dispatch to ensure on- time delivery (OTD) performance.- Monitor OTD metrics, identify risks early, and coordinate with relevant teams to address potential delays.- Work with the Sales team to validate and adjust order priorities based on urgency, and available inventory.* Reporting:- Update shipment tracking report for management- Provide monthly shipping statistics reports to Head Management- Singapore on the last day of each month.- Submit monthly Ocean Freight payment applications to HQ Accounts.- Send monthly declaration insurance files for HQ.* Costing and Invoice Management:- Check forwarder’s debit notes, carrier invoices of export shipments.

- Bachelor’s degree in Business, Logistics, Supply Chain Management, or a related field.- 2+ years of experience in export operations or a similar role.- Strong knowledge of export regulations, customs procedures, and documentation requirements.- Excellent organizational and problem- solving skills.- Proficiency in Microsoft Office Suite and export management software.
