We are looking for a reliable and organized person to support our Tech Lead. Your main goal is to handle the administrative and operational side of things, so the Lead can focus on engineering and strategy.
WHAT YOU’LL DO
Planning & Organization
Ad- Hoc Support: Handle unexpected tasks, like light research, formatting presentations, or operational logistics.
Calendar Management: Manage the daily schedule, book meetings, and coordinate technical reviews.
Strategic Planning: Draft weekly and monthly plans to help the Lead prioritize key goals and manage their time effectively.
Meeting Prep: Ensure the Lead enters every meeting with a clear agenda, background context, and any necessary reading materials.
Project Support & Reporting
Project Tracking: Update task boards and check in with team members on deadlines to keep projects moving forward.
Data & Reporting: Create weekly and monthly status reports including high- level summaries for senior management and maintain clean data in our project tools.
Communication & Documentation
Documentation: Join meetings to take clear notes and turn rough ideas into organized documents or standard operating procedures (SOPs).
Inbox Management: Monitor messages, flag high- priority items, and draft responses for general inquiries.
WHO YOU ARE
Experienced: You have previous experience as an executive assistant, project coordinator, or in a similar role.
Organized: You enjoy creating systems, using checklists, and keeping digital spaces tidy.
Detail Oriented: You pay attention to small things. You double- check calendar time zones, catch typos in reports, and ensure links work before sending them out.
Curious: You aren‘t afraid to look up technical terms or ask questions to understand the context of our work better.
Comfortable with Startups: You are used to a fast- paced environment where priorities can change quickly.
Clear Communicator: You write concise emails and speak clearly. You can help clarify technical details for non- technical people when needed.
Proactive: You look for ways to solve small problems before they become big ones.
Tech- Savvy: You don‘t need to code, but you are comfortable using modern software and understand the basics of how software products are built.
