The Operation Lead ensures Ly Gia Vien operates with discipline, alignment, and continuous improvement. This position bridges people, process, and systems — translating company strategy into daily execution through process governance, performance management, and cross- department coordination. With strong project management capability, the Operation Lead who has strengthen our internal systems and performance culture, drives new process rollouts, monitors performance rhythms, and ensures system adoption across SAP and Salesforce platforms. You’ll lead business review rhythms, maintain SOPs, coordinate process rollouts, and partner with HR to embed a culture of accountability and improvement.
Process Governance
Coordinate with department heads to update RACI charts and documentation when processes change.
Maintain and improve Standard Operating Procedures (SOPs) for all core workflows (Procure- to- Pay, Order- to- Cash, Inventory- to- Delivery).
Conduct internal reviews to ensure adherence to SOPs and report improvement needs.
Performance Rhythm
Ensure each department reports KPI progress, action items, and issues on time.
Lead Weekly Business Reviews (WBR) and Monthly Business Reviews (MBR).
Consolidate performance data for the COO/CEO and highlight improvement priorities.
System Discipline:
Collect user feedback and improvement requests to support system enhancement.
Monitor user compliance, data accuracy, and system adoption.
Collaborate with IT Admin to ensure SAP and Salesforce are used correctly according to SOPs.
Capability Building:
Coordinate process and system training across departments (e.g., Chart of Accounts, costing, forecasting).
Maintain an internal knowledge base of updated SOPs and workflows.
Support onboarding programs with process and system learning modules.
Culture & HR Partnership:
Reinforce accountability through transparent dashboards and meeting rhythms.
Facilitate reflection sessions or team retrospectives to foster continuous learning.
Work with HR to translate company values into operational behaviors and rituals.
Change Management & Project Execution:
Track project timelines, deliverables, and dependencies across departments.
Manage communication and training to ensure successful implementation.
Promote a culture of continuous improvement and operational excellence.
Plan and coordinate process improvement or rollout projects from initiation to adoption.
