We are an international trading company based in Ho Chi Minh City, currently seeking a dynamic, self- driven Office Administrator & Assistant. This role is office- based and reports directly to the Office Management. If you are eager to grow and learn, there are opportunities for career progression, by taking over other necessary responsibilities within our organization.

The ideal candidate will possess superior organizational skills, excellent communication capabilities, a knack for multi- tasking, problem- solving skills, and adaptability, along with a passion for ensuring smooth and efficient office operations.

Translation Services: Act as a translator during meetings or for official documents, where necessary.
Personal Assistance: Aid the manager with personal tasks, both within and outside the office.
Miscellaneous Duties: Perform any other tasks assigned by management.
Schedule Management: Organize and maintain diaries, schedule meetings, and remind the manager of upcoming tasks, meetings, and deadlines.
Record Keeping: Oversee an efficient office filing system and database, manage and track expenses, official records, and documents.
Office Management: Oversee the supply of office stationery, manage renewals of rental contracts, and ensure that the front office/reception area is in pristine condition.
Document Preparation: Compile and prepare reports, presentations, and correspondence, including content creation for our website and social media accounts using graphic design tools.
Reception Management: Warmly receive visitors and handle incoming and outgoing calls, providing general information and directing queries to appropriate supervisors when necessary.
Travel Coordination: Handle booking and arrangements for travel, transportation, and accommodation.
Financial Management: Ensure the timely payment of recurring monthly expenses.
Vendor Relations: Liaise with courier companies, service providers, and various organizations to deliver or collect necessary documents.
Driving Duties: Provide transportation for company members to meetings or events as required.

Yêu cầu công việc

Excellent teamwork and communication skills.
Experience with basic AI applications and graphic design tools.
Strong problem- solving skills and adaptability.
Proficiency in Microsoft Office Suite, Google Workspace, and PDF editing tools.
Strong command of English and Vietnamese.
