Missions
As a member of the team, your mission is to assist the HR- Admin Manager in Recruiting, Training and Admin tasks to ensure HR- Admin operation performs smoothly and effectively.
Roles and Responsibilities
Recruitment
- Follow up on interview process until successful candidates is selected. Perform reference checks where necessary.
- Post jobs, screen applicant resumes and organize the interviews with short- listed candidates and hiring managers.
- Select the best recruitment approach such as recruitment agencies, job fairs, recruitment websites, referral program, social media, … for different open positions.
- Participate in establish recruitment plan based on annual staffing needs and replacement plan.
- Prepare recruitment performance reports as required.
- Coordinate with line managers to update job description.
- Monitor and improve recruitment process to ensure all vacancies are filled timely with cost effectiveness.
- Conduct on board process to successful candidates.
Training and development
- Identify training and development needs in the company through job analysis, performance appraisal, succession plan and consultation with management team.
- Coordinate with line managers to organize external and internal training courses as plan. Prepare training materials for in- house courses where relevant.
- Participate in establish and implement training and development plan based on the identified needs.
- Develop effective induction programmes for new comers.
- Evaluate and select qualified training centers for external courses with the effective cost.
- Evaluate the effectiveness of training & development programmes and recommend improvements.
- Prepare training performance reports as required.
Admin
Manage transportation activities
- Follow up vehicle operation: registration, vehicle insurance
- Receiving requirement from departments, coordinating and arranging cars/bus in accordance with the needs and reasonable costs
- Directly manage and supervise the driver team; organize, arrange, assign tasks to the driver team, track schedules, gasoline, timekeeping, manage leave days
- Compare data with gasoline suppliers, garage and make payment requests.
- Follow up, promptly propose periodic maintenanceor when damage arises, fully update the monitoring file.
- Directly responsible for all cars and bus operation process, ensuring smooth and efficient operation
- Follow up cost of gasoline, maintenance, repairs and consumables.
- Training, guiding driver on manners, service attitudes, costumes, communication ... Annual performance assessment
Manage general service team
- Training, guiding work standards, annual performance assessment
- Responsible for the activities of the general service teams (Gardeners & Cleaners), ensuring the quality of landscape/ sanitation around the factory, office, rest- room area, laundry
- Directly manageme and supervise of gardening and cleaning teams, organization, arrangement, assignment, timekeeping, documents, vacation day management, KPI evaluation
- Coordinate with the QA department for monthly checking, closing finding (if any)
Follow up service contracts, check arising data/ usage and make payment order, handle problems for the following services: Taxi, Drinking water, Post/ logistic, Domestic garbage disposal, Parking, Rental car...
Documents for Expats/ Visitors
- Support to apply visa for Visitors from the Group.
- Follow up ans support documentation of expats and their dependents such as work permit, temporary resident card, visa...
Others
- Support HR- Admin Manager in other tasks when necessary.
- Participate in organization of company events (annual trip, year- end party, …)
- Set up meeting room, tea- break, … welcome guest
- Be a HR coordinator for internal audits (ISO, Halal,..), Participate in external audit with Authorities, Mazars, ….
