JOB DESCRIPTION
Executive Support & Communication
Manage CEO and Directors’ mailboxes, including forwarding emails to relevant team members.
Flag urgent correspondence and ensure timely responses.
Act as the first point of contact for internal and external communications.
Draft, review, and edit documents, reports, and presentations on behalf of the CEO.
Calendar & Workflow Management
Prepare agendas, meeting notes, and follow- up actions.
Prioritise scheduling to maximise executive productivity.
Organise and manage calendars for the CEO and Directors, coordinating meetings and appointments.
Administrative & Compliance Support
for Fundwise
Prepare and submit lender accreditation applications.
Maintain accurate records and documentation to ensure compliance with business requirements.
Update and maintain company registrations, licenses, certificates, and memberships.
General Office & Project Support
Support Directors with communication and coordination across teams.
Handle ad- hoc projects and special assignments as delegated by the CEO.
Assist with daily operational tasks and cross- team initiatives.
REQUIREMENTS
Experience
Proven ability to support senior leaders in a fast- paced environment.
Hands- on experience in managing mailboxes, calendars, and corporate administrative tasks.
Minimum 1 years’ experience as an Executive Assistant, Personal Assistant, or in a similar role supporting senior executives.
Knowledge
Strong understanding of administrative best practices and executive support functions.
Familiarity with corporate compliance, registration, and accreditation processes is an advantage.
Required Skills
Strong problem- solving skills and the ability to make sound decisions in a fast- paced environment.
High level of discretion, professionalism, and the ability to handle sensitive and confidential information.
Proficiency in Microsoft Office Suite and other productivity or collaboration tools.
Strong organisational skills with the ability to prioritise tasks and manage multiple deadlines effectively.
Excellent written and verbal communication skills in both English and Vietnamese (IELTS 7.0 or equivalent is a strong plus).
High attention to detail and accuracy in all administrative and communication tasks.
