Role Description
Welcome guests, and visitors and provide guidance to meet up with the right people.
Send and receive outgoing/ incoming documents, devices both local and international
Take care of company events, organize birthdays, happy hour, sports, and other activities...
Purchasing: coordinate with IT to understand the specification and find the best suppliers with good quotations. Order/ distribute.
Checklists, update all tasks in a general file of the admin department
Order, manage, and make payments for monthly activities: taxi, drinking water, toner, stationery, internet vendors, pantry, office rental... other monthly payment expenses
Office equipment repair and maintenance, make sure all equipment, machines, and ACs in the office work well, the office is clean and professional
Other related jobs assigned by the manager.
Printing, office decoration, speaker, translation, and interpretation as requested
Manage security guys and cleaners. Make sure they implement company policy, rules
Coordinate with the Security team to manage/ distribute the company’s properties, devices
Onsite trip: instruct the visa process, flight booking, hotel accommodation, transportation arrangement/ booking, travel insurance for employees in the country and overseas travel (USA, India, Japan...), cost estimation to meet company budget.
Import and export: Send and receive outgoing/ incoming documents, devices both domestic and international. Prepare documents for an import license.
Manage admin cash which approved by the Manager
Logistic preparation for visits of customers, and visitors for hotel reservations, air tickets, and transportation. Organize lunch, dinner, or snacks as required. Set up the meeting. Book or join tour a day or weekend tour. Make sure the budget meets the company’s requirements.
Requirement:
4th- year students majoring in English, Business Administration, Foreign Trade, Business Information Systems, or any related who can work full- time 03 months
Good English communication skill
Students with dynamic experience in school/social activities will have a big advantage
Proficient in Microsoft Office: Word, Excel, PowerPoint
