Job Summary:
In line with our expansion in Vietnam, TTI set up a Communications team in Ho Chi Minh City, which is responsible for raising TTI’s reputation and enhancing our communications with internal and external stakeholders. Therefore, we are seeking a motivated person to assist us in driving new initiatives to build up a robust communication platform in Vietnam. The Event Associate cum Communications Administrator will have an exciting opportunity to be part of the above plan to develop a modern, responsive, and engaging presence through various communication channels that reflect TTI’s unique culture and market preeminence.
The Event Associate cum Communications Administrator plays a key role in supporting the Communications Department through effective planning, coordination, and delivery of events and efficient administrative management. This dual- function role ensures that all communication- driven events are executed smoothly while maintaining organized departmental operations that enable the team to perform at its best. The ideal candidate is proactive, resourceful, solution- focused, detail- oriented, and passionate to thrive in a fast- paced, multinational environment.
Responsibilities:
Event Execution and Coordination:
Manage event logistics including venue booking, vendor management, catering, transport, guest registration, POSM set up and dismantle, and audio- visual arrangements.
Coordinate and execute a range of internal and external events such as training, orientation, workshops, employee engagement campaigns, facility tours, media launches, conferences, exhibitions, stakeholder/townhall meetings, and corporate social responsibility (CSR) activities.
Prepare and manage event timelines, budgets, and checklists with internal and external stakeholders to ensure smooth execution. Serve as the on- site event coordinator, handling registration, guest assistance, and troubleshooting during events.
Collect event data, feedback, and media coverage for post- event evaluation and reporting.
Collaborate with the Communications and Branding team members to ensure event materials, branding, and messaging are consistent with the Company’s identity.
Administrative and Departmental Support:
Manage team calendars, coordinate meetings, prepare agendas, and take minutes.
Provide day- to- day administrative and operational support to the Communications department.
Handle procurement requests, vendor contracts, and payment follow- ups.
Coordinate departmental travel, logistics, and leave records when required.
Assist in managing departmental budgets, processing invoices, and tracking expenses.
Maintain showroom décor in alignment with Company’s brand identity.
Perform ad- hoc duties as requested by the supervisor or team members.
Serve as liaison between the Communications Department and internal departments (Finance, HR, Legal, Sourcing, IT, Facilities, etc.).
Maintain organized records, contact databases, and department documentation.
Communications Support
Assist in maintaining and updating digital platforms, intranet pages, and photo/video archives.
Support the preparation of event communications such as invitations, social media posts and briefing notes.
Ensure all departmental and event- related communications are consistent, professional, and on- brand.
Prepare and compile post- event reports, media summaries, and other administrative documentation.
