The Director of Events/Assistant Director of Events is responsible for:
Manages all sales activities and events including direct sales, sales solicitation, sales administration, public relations and management of the sale team.
Duties and responsibilities Financial returns:
• Works with Director of Finance in the preparation and management of the Department’s budget
• Participate in the preparation of the Resort’s Strategic Plans, budget’s meeting, P&L meeting
• Produces, implements and monitors action plans to ensure Revenue Plan objectives are achieved
• Has a broad knowledge of how the business is run, focuses on the major factors necessary to ensure that the business is successful and profitable
• Be responsible for your department P&L
• Educate, train and motivate the teams to achieve department and hotel revenue goals. Ensure staff has the information, datas, tools and equipment to successfully carry out job duties
• Produces the Annual Revenue Plan in conjunction with Executive Committee, Sales and Marketing Budgets and forecasts
• Establish and interpret key performance indicators to manage the department, consistently takes into accounts financial implications of business decisions and recommendations
• Analyses current and potential markets/trends, coordinates all activities to maintain and increase revenue through added business volume and increased rate
People:
• Works with Human Resources on manpower planning and management needs
• Conducts weekly reviews of sales personnel activity to ensure targets and sales objectives are being met
• Work with Human Resources on manpower planning, performance management and talent management
• Become familiar with the InterContinental Danang Resort employee handbook and Collective Labor Agreement (KKB), follow the rules of the agreement.
• Lead by example, promote teamwork and quality service through daily communication and coordination with key department heads.
• Produces monthly Sales reports and forecasts
• Directs all sales activities for Sales Managers to ensure they meet the goals of the Revenue Plan
• Be always impeccably groomed to represent the Hotel in a professional manner.
• Be responsible in keeping our property safe and secure, to participate in any hotel activity related to Fire Life safety.
• Manage day- to- day activities, plan and assign work, and establish performance and development goals for team members. Provide mentoring, coaching and regular feedback to help manage conflict, improve team member performance, and recognise good performance.
• Perform any other duties which may be assigned by the management from time to time.
• Perform/ behave as per IHG Winning Ways and IHG leadership competencies
Guest experience:
• Follow up business under negotiation as well as take care of confirmed business.
• Entertain potential accounts as per Management requirements.
• Respond to all Banquet requests within 48 hours.
• Be able to conduct an intensive Hotel site inspection and join any hosted function as directed by the Management.
• Take care of in- house guests whenever necessary
• Liaise with MICE PCOs, PEOs and Government bodies.
• Establish beneficial relationships with our clients, especially in Corporate, Commercial sector and MICE segments.
• Interact with potential clients and industry trade representatives of competitive hotels.
• Perform Brand’s Services behaviours in daily operation basic towards the guests
• Drive to deliver Luxury Experiences to guests, to achieve Heartbeat target
• Deliver give- away items to your accounts on specific occasions (at Xmas, for birthday’s, etc.)
• Develop and update department SOPs (standard Operation Procedure), JD (Job description) and implement it to enhance the guest experience
• Sell and promote hotel in all aspects, with emphasis on Corporate and all Meeting, Incentive, Conference & Exhibition.
• Maintains close liaison with Regional/ Corporate Sales teams and those of other IHG hotels to ensure the hotel receives proper corporate consideration, direction and support
• Make a minimum of 6 sales calls daily and 4 entertainment per week.
• Meets with guests from major producers/organizers of big events staying in the hotel to ensure customer satisfaction
• Research and report upon Travel Agent and/ or Corporate Market trends as well as market intelligence.
Responsible business:
• Directs all sales activities for Sales Managers to ensure they meet the goals of the Revenue Plan
• Recommended changes to these standards
• Meets with guests from major producers Produces the Annual Revenue Plan in conjunction with Executive Committee, Sales and Marketing Budgets and forecasts
• Procures new and repeat business for the hotel by monitoring contact with airlines, travel agencies, commercial houses, private clubs and professional associations within local, domestic UK and international markets. Maintains contact with planners, corporate accounts, incentive buyers, airlines and wholesalers, through personal sales calls, telephone contacts and written communications
• Analyses current and potential markets/trends, coordinates all activities to maintain and increase revenue through added business volume and increased rate
• Produces monthly Sales reports and forecasts
• Be responsible in keeping our property safe and secure
• Attends major travel functions to promote sales for the hotel
• Plans and executes sales trips to major market areas
• Be responsible in protecting the environment such as the trees, the sea, and the special species
• Monitors competitor activities
• Understand and ensure your staff understanding IHG Brand Standard related to your department
• Creates and implements special program to achieve greater productivity through:
Increasing occupancy
Increasing business volume during difficult periods
Increasing average rate
Increasing local food and beverage banqueting sales
• Works with Director of Finance in the preparation and management of the Department’s budget
• Research and report upon Travel Agent and/ or Corporate Market trends as well as market intelligence.
• Plan regular sales calls report if any.
• Handle issues related to his/her own accounts or handle any other matters as directed by his/ her immediate supervision and DOSM.
• Prepare weekly Group Booking chart.
• Provides direction on and conducts market research
• Oversees the selling and servicing of group business
• Co- ordinates the development of all promotional material
• Issue Event Order’s for daily functions ideally 5 days before function, except for Last Minute functions.
• Prepare daily and monthly Sales Report.
• Organizes and attends major sales/PR related functions within the hotel
• Attend daily sales briefings.
• Manages key accounts
• Establishes and continuously updates mailing lists
• /organizers of big events staying in the hotel to ensure customer satisfaction
• Occupational Health and Safety Responsibilities:
Initiate action to correct a hazardous situation and notify supervisors of potential dangers.
Be aware of duty of care and adhere to occupational, health and safety legislation, policies and procedures.
Demonstrate Awareness of OH&S policies and procedures and ensure all procedures are conducted safely and within OH&S guidelines.
Log security incidents and accidents in accordance with resort requirement
Be familiar with property, first aid and fire and emergency procedures and operate equipment safely and sensibly.
• Perform any other duties which may be assigned by the management from time to time.

Qualifications and requirements Required skills:

• Demonstrated ability to interact with customers, employees and third parties that reflects highly on the hotel, the brand and the Company.
• Proficient in the use of Microsoft Office
• Good Communication and writing skills
• Problem solving, reasoning, motivating, organizational and training abilities.
Qualifications:
• Bachelor’s degree in Sales, Marketing or related field.
Experience:
• 4 years of relevant experience or similar supervisory role, or an equivalent combination of education and work- related experience.
