JOB IN SUMMARY
This position is part of the HR and Administration Team at the HCMC Office. As an Admin Intern, you will have the opportunity to gain hands- on experience in both receptionist and administrative tasks, supporting the daily operations of the office. You will be the first point of contact for visitors and external calls, helping to maintain a professional and welcoming office environment. In addition, you will assist with various administrative duties such as meeting room coordination, document handling, office service arrangements, and supporting internal teams and guests.
KEY RESPONSIBILITIES:
Receptionist tasks:
Receiving incoming telephone calls, documents, and transfer to related person. Sending documents, courier when needed. Arrange and control the meeting rooms.
Ensure knowledge of staff movements in and out of organization.
Welcome visitors warmly, make sure they are comfortable, instruct them to meet people.
Admin tasks:
Visitor travel arrangement supporting with hotel, car booking …
Support all the expats and co- workers (HCM, Long An, Bien Hoa, Di Linh, Phu Yen, Quy Nhon, Gia Lai) if any.
Arrange for visiting plan for guest (pick up, transportation, accommodation…)
Manage emergency changes/cancellations in a professional and calm manner
Booking: team lunch/ dinner/party.
Order beverages and food for guests and expats when needed.
Make sure solving the problems if any (phone, taxi, electricity, drinking water, stationary, express service DHL, TNT, EMS, 247, printing, healthcare service, office flower, office cleaning, etc…)
Payments: process all the payments on time (include monthly payments and others necessary payments)
Other ad- hoc jobs assigned by direct managers.
