Admin Assistant to Senior Vice President, Hospitality

SCOPE OF POSITION
Ensures the efficient day- to- day administration of the department.
Cooperates with other departments to support the smooth operation and management of the resort hospitality operations.
Assists the SVP, Hospitality and the Hospitality Management Office with administrative and general assignments.
KEY RESPONSIBILITIES AND ACCOUNTABILITIES
Handles incoming and outgoing telephone calls and faxes.
Prepares correspondence (fax, letters, memos, complimentary vouchers, etc.) as assigned, using the department&039;s coding system for tracking.
Maintains contact listings, including Owner contacts, hotel contacts, and supplier companies.
Arranges appointments for the SVP, Hospitality and provides reminders of appointments and meetings.
Fulfils the day- to- day administrative needs of the department.
Performs all duties within the framework of Company norms and the Hotel&039;s internal regulations.
Performs other reasonable duties as assigned by the SVP, Hospitality.
Takes and transcribes minutes of meetings.
Keeps confidential information strictly confidential, in line with the Company&039;s confidentiality and non- disclosure requirements.
Inputs data into the computer system as required.
Maintains office supplies stock.
Stays informed of the SVP, Hospitality’s schedule and activities to help identify and manage priorities.
Opens and dispatches mail relating to the department.
Provides secretarial and clerical support to the SVP, Hospitality as required.

REQUIREMENTS
Able to work well under pressure.
College degree or equivalent relevant experience.
Excellent verbal and written communication skills in English.
Flexible and able to respond to a range of different work situations.
At least 2–3 years of relevant experience.
Meticulous, organized, polite, approachable, and attentive.
Excellent administrative and IT skills, including proficiency in Microsoft Office (Word, Excel, Outlook) and hotel systems such as Opera PMS (or equivalent).
